How cancellations and refunds work when you book with us.

We understand that plans can change. This policy explains how cancellations and refunds work when you book with Itinerary Diary Tour & Travels. Because every itinerary combines different suppliers (hotels, airlines, transport and experiences), the exact terms for your trip are always set out in your written quotation — this page explains our general approach.

1. How to cancel

To cancel or amend a booking, contact your travel designer in writing by email at help@itinerarydiary.com or via WhatsApp/phone on +91 76499 29992. Cancellation takes effect from the date we receive your written request. We will confirm receipt and the applicable charges.

2. Cancellation charges

Cancellation charges depend on how far in advance you cancel and on the rules of the suppliers involved. The specific charges for your trip are stated in your quotation/invoice. As a general guide for tailor-made land arrangements, charges typically increase as the departure date approaches — from a modest charge for early cancellations up to the full cost for cancellations very close to or after departure. Your confirmation document is the definitive schedule for your booking.

3. Non-refundable components

Certain items are commonly non-refundable once booked, including flights and other transport tickets, visa fees, travel insurance, special-event or festival tickets, peak-season and promotional hotel rates, and any supplier deposits already paid on your behalf. These will be identified in your quotation wherever possible.

4. How refunds are processed

Any refund due is calculated as the amount you have paid less applicable cancellation charges and non-refundable components. Refunds are made to the original payment method or bank account. We process eligible refunds promptly once supplier refunds are confirmed; the time for funds to reach you depends on banks and payment providers.

5. No-shows & unused services

If you do not show up for a booked service, or choose not to use part of your itinerary once travel has begun, those services are generally non-refundable, as suppliers still charge us for them.

6. Force majeure

In cases beyond anyone's control — such as natural events, severe weather, strikes, government restrictions or other force-majeure situations — supplier terms apply. Where possible we will help you reschedule or recover refundable amounts from suppliers, but we cannot guarantee refunds that suppliers do not return to us.

7. Travel insurance

We strongly recommend comprehensive travel insurance that includes cancellation cover, so that non-refundable amounts can be claimed if you have to cancel for a covered reason.
